Privacy Policy
Last updated: October 24, 2026
FixedWidth AI converts legacy reports and fixed-width text into Excel and CSV files at fixedwidthai.com (the “Service”). It is built and run by an independent developer (“we”, “us”). We built it so your data stays with you. This policy explains exactly what leaves your browser, where it goes, and what we keep.
The short version
- Your file is read, cleaned and converted in your browser. It is never uploaded to or stored on our servers.
- To help find the columns, a sample of up to 70 lines is sent through our server to our AI provider. Our own code masks long numbers in it inside your browser before it is sent; the AI never sees the unmasked lines or the rest of your file.
- AI only suggests where the columns are. It never produces or changes the values in your output.
- We don't store your data: not your file, not the sample, not the results. We never use your data to train AI models. Our AI provider handles the sample under its own terms (see section 4).
- There are no accounts, no cookies, no advertising, and we never sell or share your information.
1. Information we process
Your files and pasted text. Everything you convert is processed by code running in your own browser. The full file, the converted table and your downloads never reach us.
The AI sample. When you load a file, the page picks up to 70 lines from it (from the start, middle and end) and sends them to our server, which forwards them to a third-party AI model provider to suggest where the columns are. Before sending, every run of five or more digits and every amount with thousands separators is masked (digits 1–9 become 9; zeros and leading YYYYMMDD dates are kept, since they show the layout). Other text in those lines, such as names, descriptions or codes, is sent as it appears in your file. Only the suggested column positions come back, and the page checks them against your data before using them.
Technical data. Like any website, our hosting provider receives your IP address, browser type and the time of each request. Our server keeps the IP address in memory for up to one hour to limit how often AI can be called, and its logs record the outcome and timing of AI requests, never the sample text or the AI's answer.
2. How AI is used, and its limits
- What AI sees: only the sample described above: up to 70 lines, each cut to 1,000 characters, with long numbers masked.
- What AI never sees: the rest of your file, the converted table, your downloads, or any number before it is masked.
- Who masks the data: the masking is done by our code in your browser before anything is sent, and our server applies the same masking again before forwarding. It is not done by the AI model. Masking covers numbers only: names, descriptions and short numbers such as quantities are sent as they appear.
- What AI does: it returns a list of column positions, names and types. The page checks them against your data and falls back to its own detection if they don't fit. Every value in your output comes from your file, sliced by our code, never retyped by AI.
- No training by us: we never use the sample, or anything else from your file, to train or improve AI models. Our AI provider's terms allow it to use data it receives to improve its own models, which is one more reason we send it only the short masked sample and never your file.
- Retention: our server never writes the sample or the AI's answer to disk or to its logs; both are discarded from memory as soon as the request ends.
3. How we use it
We use the AI sample only to find the columns of the file you loaded, and technical data only to run, secure and protect the Service from abuse. We don't use your data for advertising or profiling, and we don't use it to train AI models.
4. Who receives it
- Our AI model provider, a third-party company, receives the masked sample through its API and returns the column suggestions. It processes data under its own privacy policy, which allows it to keep data and use it to improve its models. If you'd like to know which provider we use, email us and we'll tell you.
- Vercel, our hosting provider, serves the site and runs the server that forwards the sample.
- Authorities, if the law requires it.
We do not sell or share personal information, as those terms are defined under California law.
5. Retention and security
We don't keep your files, samples, AI answers or results: there is nothing to delete on our side. All traffic is encrypted with HTTPS, and the site's security headers keep other websites from loading or calling it.
6. Cookies and tracking
The Service sets no cookies and stores nothing in your browser. We don't track you across websites, so “Do Not Track” and Global Privacy Control signals don't change how the Service behaves.
7. Your choices and rights
If you'd rather no part of a file is sent to AI, remove sensitive lines before loading it, or replace names with placeholders: the columns are found from the layout, not the words. Depending on where you live (for example California, Colorado or Virginia), you may have the right to know, access, correct or delete personal information about you. Since we don't keep files or samples, there is usually nothing to return, but you can ask us anytime at leoli5778@gmail.com and we'll respond within 30 days.
8. Children
The Service is meant for business use and is not directed to children under 13. We don't knowingly collect information from them.
9. Changes to this policy
If we change how data is handled, we'll update this page and the date above before the change takes effect.
